Arcove: Inspection Management — Case Study
Bringing Clarity to the Chaos of Construction Inspections.
WHAT IS ARCOVE?
✔ All-in-one platform for managing homebuilding tasks, including scheduling, trade coordination, and inspection workflows.
✔ Built-in inspection management lets builders schedule, track, and respond to inspection results without leaving the app.
✔ Designed with builders in mind — reducing delays, miscommunication, and back-and-forth across teams in the field.
Role: UX Designer
Employer: Cathedral Plumbing
Platforms: Mobile
Areas: Research & Design
THE PROBLEM
✔ Superintendents and trades struggled with scheduling inspections, tracking results, and communicating red tags.
✔ Caused delays, miscommunication, and missed milestones.
✔ Needed a clear, milestone-based system that reduced manual tracking.
RESEARCH
✔ Interviews with superintendents and trade partners
✔ Found communication gaps: inspections weren’t always logged, and red tags were inconsistently documented
✔ Benchmarked other scheduling tools → none addressed trade-specific milestone workflows.
“I never know which inspections I’m supposed to schedule until it’s already delayed” - John (Construction Manager)
”I wish there was one place to see all inspection statuses instead of digging through emails.” - Randall (Superintendent)
OUR DESIGN PROCESS
✔ Created user flows for scheduling, logging results, and red-tag follow-up.
✔ Iterated on wireframes → prototypes, tested with SMEs.
✔ Incorporated AI-assisted red tag documentation to reduce manual entry.
✔ Collaborated with devs on feasible scheduling logic and notification triggers.
THE SOLUTION
✔ Milestone-based scheduling: inspections tied directly to project milestones.
✔ Dashboard visibility: status tracking for each inspection (pending, passed, failed).
✔ AI-powered red tag capture: auto-suggests descriptions based on trade and issue type.
✔ Clear trade communication: inspection results + next steps visible to all stakeholders.
USER FLOW
The user flow for scheduling an inspection for the first time.
This is a user flow for an experience when a user receives a result of their inspection.
OUR DESIGNS
Wireframes:
We began with wireframes to get a clear sense of the design challenges we needed to address.
The Final Design:
Inspection scheduling entry point.
Using date picker to choose inspection date.
Entering result entry point & green tagging.
Red tagging inspection process.
OUTCOME
✔ Reduced missed inspections and delays (validated in prototype feedback).
✔ Trades and superintendents reported improved clarity in scheduling.
✔ Anticipated reduction in rework from consistent red tag documentation.
REFLECTION
✔ Next step: pilot with multiple communities to measure real adoption.
✔ Would add integration with permitting systems for end-to-end inspection visibility.
✔ Helped me strengthen workflow design and collaboration with SMEs.
